How to Add Prospects to Your CRMChat Pipeline: 5 Methods Explained

Adding prospects, or leads, is the first step in building a successful sales pipeline. CRMChat offers several flexible methods to populate your pipeline, whether you're importing existing conversations, adding new contacts from networking events, or generating leads from online sources. This guide explains the five primary ways to add prospects to your pipeline.

Method 1: Sync Telegram Folders

This is the fastest way to import all your existing business conversations into CRMChat at once. By syncing a Telegram folder, every contact within that folder is automatically added as a lead to your pipeline. You can access this feature by clicking the My Leads button.

  1. Navigate to the main CRM view and click the + icon in the bottom right corner.

  2. Select Telegram Folder Sync from the menu.

  3. A list of your Telegram folders will appear. Toggle the switch next to the folder(s) you wish to sync.

  4. Choose the correct workspace and click Enable Sync.

Tip: If you can't sync a folder, go to the folder settings and remove all "Chat Types" dynamic parameters such as "Contacts", "Non-Contacts", "Groups", "Channels", "Bots", "Muted", "Read", "Archived", and remove all folder invite links, if there are any. Then try to sync again, and the issue will be resolved.

Method 2: Forward a Message

If you have an ongoing conversation with a potential prospect on Telegram, you can quickly add them as a lead by forwarding one of their messages to the CRMChat bot.

  1. Open a chat with the person you want to add.

  2. Right-click (or long-press on mobile) any message sent by them and select Forward.

  3. In the pop-up, select the CRMChat bot as the recipient and send the message.

  4. The bot will automatically create a new lead and save the forwarded message as a note in their profile.

Method 3: Add Manually

For prospects you've met outside of Telegram, you can manually input their information to create a new lead.

  1. From the main CRM view, click the + icon.

  2. Select Add Manually.

  3. Fill in the form with the prospect's information, including their Name, a short Description, and any contact details you have (URL, Email, Phone, or Telegram).

  4. Click Create lead to save the prospect to your pipeline.

Method 4: Scan a QR Code

This method is perfect for adding leads quickly during in-person meetings or conferences. Simply ask the prospect to show you their Telegram QR code.

  1. On your mobile device, open the CRMChat mini-app and tap the + icon.

  2. Select Scan QR.

  3. Use your phone's camera to scan their QR code. The lead will be instantly added to your pipeline.

Method 5: Import from External Sources

CRMChat allows you to generate new leads in bulk by parsing information from LinkedIn profiles.

  • LinkedIn Profile Screenshot: Take a screenshot of a prospect's LinkedIn profile and send the image directly to the CRMChat bot. Our AI will analyze the image, extract key information like their name and professional details, and create a new lead.

Tips for Adding Prospects

  • Use Folders for Speed: Before you begin, organize your existing Telegram chats into folders (e.g., "Clients," "Hot Leads"). This makes the Telegram Folder Sync method extremely efficient for importing dozens of contacts in seconds.

  • Forward for Context: When using the Forward Message method, choose a message that provides important context about the lead. This message is automatically saved as a note, giving you a quick reminder of your conversation history.
